PaperPort software allows you to change file format of your document before you e-mail it.

Having the ability to send your scans straight to e-mail offers numerous conveniences:

  • Reduce paper use
    Since there’s nothing to print and nothing to fax, these features cut down on the amount of paper you use—ultimately helping you save money.
  • Save time
    Without this feature, you’d need to scan a document to your PC, then compose your e-mail in a separate program, and then attach the scan to your e-mail by browsing through your files to locate your saved scan.
  • Choose your file format
    With PaperPort software, you can easily change the file format of your document before you e-mail it. For example, if you’re not sure whether a recipient has Microsoft Word, you can convert your Word document to a PDF, a universal format.

How to set up PaperPort Scan to e-mail

Click the Send To bar to add a new program

To add a new program to the Send To bar, right-click anywhere on the bar and select the option that says Send To Bar. Next, choose New Program Link and follow the prompts.

PaperPort software allows you to scan to e-mail and is included with select HP Scanners, such as the HP Scanjet 5000 Sheet-feed Scanner.


Install PaperPort software
To install your PaperPort software, simply place the PaperPort CD into your computer’s disc drive and follow the prompts on your computer screen.


The PaperPort Send To bar

  • The Send To bar is at the bottom of the PaperPort home screen and displays icons for all the different destinations for your scans, including e-mail, your printer, Adobe Illustrator, and many more.
  • To add a new program to the Send To bar, right-click anywhere on the bar, select the option that says Send To Bar, choose New Program Link, and follow the software prompts to complete the addition.

How to use PaperPort Scan to e-mail

Once you’ve scanned your documents, thumbnails of your scans will appear at the top of the PaperPort home screen.

Your scan will automatically be included in your e-mail as an attachment.

It’s easy to use PaperPort to share files, images, and documents with friends, colleagues, and business associates.


Access PaperPort

  • To open your PaperPort software program, double-click on the PaperPort icon on your PC’s desktop.
  • Once you’ve scanned your image or document, a thumbnail of your scan will be appear on the PaperPort home screen.

Choose your e-mail settings

  • Choose your settings (including file format) by right-clicking the icon of your preferred e-mail program and clicking on Send To Options.
  • The Send To Options box allows you to specify the file format of your attached scans, including TIFF, JPEG, PDF, and many more options.

Send your e-mail

  • Drag the thumbnail of your scan to a preferred e-mail program on the PaperPort Send To bar. (To drag multiple scans at one time, hold down Shift while you click on each scan’s thumbnail.)
  • A new window will pop up containing an e-mail with your scanned item attached.
  • Add a subject line, message, additional attachments, or make any other changes, and send!
